Estimating Office Space Requirements
Office space requirements vary significantly depending on how a company operates. A business using private offices may require more square footage per employee than a company using open workstations or hybrid work arrangements.
When estimating office requirements, consider workstations, private offices, conference rooms, reception areas, file storage, break rooms, copy areas and circulation between workspaces.
The appropriate amount of space per employee varies by business model and layout, so the calculator allows you to enter your own assumption instead of using one fixed standard.
How Much Retail Space Does a Business Need?
Retail businesses should consider customer circulation, merchandise displays, checkout areas, storage, fitting rooms, back-office space and any specialized operational requirements.
The ideal size depends on the business concept, expected customer volume, inventory, merchandising strategy and location.
A larger store is not necessarily better if the additional space does not contribute to revenue or operational efficiency.
Estimating Warehouse and Distribution Space
Warehouse users should evaluate much more than total square footage. Clear height, column spacing, loading docks, drive-in doors, truck access, yard space, fire suppression, power and zoning can be as important as the building size.

Why Future Growth Matters
A business may fit comfortably into a property today but outgrow it before the lease expires. Commercial leases often last several years, so planning for reasonable growth can reduce the risk of moving again prematurely.
The calculator therefore includes an optional future-growth allowance. For example, a calculated requirement of 8,000 square feet with a 10% growth allowance would produce an estimated future requirement of approximately 8,800 square feet.
However, paying for significantly more space than the business is likely to use can increase occupancy costs unnecessarily. Growth assumptions should therefore be realistic.
Usable Square Feet vs. Rentable Square Feet
Commercial tenants may encounter both usable square feet and rentable square feet. Usable square footage generally refers to the area occupied exclusively by the tenant, while rentable square footage may include the tenant’s proportionate share of certain common areas.
This distinction can affect the amount of rent paid and should be reviewed when comparing commercial properties.
Other Factors to Consider Before Leasing Commercial Space
Square footage is only one part of selecting a commercial property. A property should also be evaluated based on location, zoning, parking, visibility, access, loading, ceiling height, power, signage, accessibility, permitted use and the physical configuration of the space.
Lease structure also matters. Tenants should understand base rent, NNN or CAM charges, rent escalations, security deposits, tenant improvements and other financial obligations.

There is no universal amount. Space requirements vary based on private offices, open workstations, remote work, meeting rooms, circulation and the type of business. The calculator lets you enter your own estimated square footage per employee.
Should I lease extra space for future growth?
It may be appropriate to plan for reasonable growth, particularly when entering a multi-year lease. However, excess space also increases occupancy costs, so the growth allowance should reflect realistic business plans.
Does warehouse square footage include office space?
It depends on the property and how the listing is described. Some industrial and flex properties include office buildout within the total building square footage. Always confirm the actual layout and area breakdown.
Is rentable square footage the same as usable square footage?
Not always. Rentable square footage may include a tenant’s share of common areas, while usable square footage generally refers to the area used exclusively by the tenant.
Can this calculator determine whether a property will work for my business?
No. The calculator only estimates square footage. Zoning, permitted use, occupancy requirements, parking, building configuration, utilities, loading, access and other factors must also be evaluated.
Should I search only for properties matching the exact calculated size?
Usually not. Different layouts can make two properties with the same square footage function very differently. The calculator therefore provides a suggested search range rather than one exact number.
